Virtual Assistant
at Kat (Anywhere)
Reports to: Director
Position Description: As a Virtual Assistant you will be responsible for all ‘overflow’ items, that is, items that our in-house staff or director is unable to attend to in a timely manner. You will be the key point of contact responsible for maintenance of our company databases, social networks and web content upload. You may provide a support role where required from an administrative perspective.
Hours: Approximately 30 hours per week. More hours may be available if website are in production and the staff member is willing to perform additional hours.
WEB DUTIES
Task/s
• Sourcing, editing and uploading content and images as required
• Setting up new website developments i.e. page names, navigation structure etc, preparing site maps
• Perform website updates to CC website or client websites as required
PR/MARKETING DUTIES
• Maintaining media contact database, client databases and others
• Sourcing copies of successful media achieved and uploading to website
• Assist in the promotion of Web Wednesdays and other events via email and other prescribed online activities
• To solicit speaking opportunities for the director and other key personnel via email and other prescribed online activities
• To promote the opportunity to purchase our products via email and other prescribed online activities
• Coordinating or assisting with generating positive media coverage (with 3 media companies) including liaising with the media under guidance from Director
• Coordinating or assisting with generating positive media coverage for awardshub.com including liaising with the media under guidance from Director
• Coordinating or assisting with generating positive media coverage for The Creative Collective, director and its staff including liaising with the media under guidance from Director
• Customer service – touching base on regular basis with clients and prospects via email using template emails as per our standard sales processes
PA/ADMIN DUTIES
• Assisting to manage incoming email inquiries
• Assisting other company stakeholders - staff, franchisees and contractors as required
• Maintaining company databases for contact details etc and CRM
• Conduct research where required
• Creating and updating procedures to company wiki
• Collating analytics/web intelligence and providing reports as requested to our Director
• Uploading videos to online video aggregators with best practice SEO in mind
Other general points which must be adhered to by all in-house staff members at all times:
• Managing multiple projects, objectives and deadlines
• Maintaining the Creative Collective’s customer service standards
• Maintain and ensure a commitment to privacy and confidentiality
• Maintaining excellent hard copy and electronic copy files for easy retrieval
• Can be left unsupervised
• Can work and manage other Staff with specific work
• Attends Weekly and Monthly meetings
• Meets Managers expectations
• Communicates appropriately
• Takes accountability for own decisions and mistakes. Makes a concerted effort to ensure mistakes are not repeated.
• Has a positive attitude and is willing to tackle all tasks.
• Attends work and is punctual
• Maintains excellent personal grooming standards
• General office cleaning
